Planning Coordinator

Overview:

Under the direction of the Planning Manager, the job holder will be responsible to support the implementation of all FIFA Futsal Women’s World Cup 2025 LOC, maintaining the planning & operational risk management framework.

Key Responsibilities:

Functional Planning

  • Collaborates with all LOC departments in order to support development and monitoring of projects’ scope and plans
  • Integrates all comments on internal LOC overlaps and gaps and supports facilitation of process for issue resolution
  • Collaborates closely with FWC Programme to ensure FIFA requirements are integrated within the planning documentation and provide status reports upon request
  • Support review processes of project scope and collaborates with Finance, HR and other resources departments to ensure scope is aligned with resources planning

Event Wide Planning

  • Supports the coordination of the LOC process for the development and delivery of any required content and/or alignment of content that will be included in the Supreme Committee of Legacy and Delivery’s Event Foundation Plan and it required for the LOC Strategic Planning
  • Maintains key LOC terminology, codes and planning numbers, such as List of Functional Areas, Projects and codes, definition of FWC constituent groups categories and functions, estimated planning numbers and codes. Work with Venues department to define List of Venues and relevant codes – Align terminology, codes and numbers with Host Country Operations
  • Supports –as required- the planning and delivery of the Event Main Operations Centre

Risk Management

  • Maintain process of LOC Risk Registers monitoring
  • Updates risk registers with the relevant input of the Finance department for identification of Financial Risks
  • Supports the development of the LOC Incident and Crisis Management plan (Pre and during the Event)

Monitoring & Reporting

  • Updates the integrated issues, risks and timelines database
  • Drafts status reports on project timelines, issues and risks
  • Issues status reports on FIFA milestones and other departments where required.

Event Wide and Functional Operational Policies & Procedures

  • Supports the development of the Event Wide and Functional Operational Policies & Procedures

General

  • Provide input to departmental/divisional planning and administration matters, such as staffing, etc.
  • Adapts to the needs of the role as per the LOC evolution
  • Performs any other duties assigned by the Planning manager
  • Fulfil assigned responsibilities:
    • to a high standard of quality and meeting timelines
    • in  full compliance with the LOC & SC Quality Policy and the Safety and Security rules and requirements
    • in line with any standards and objectives designated in the Employee

Qualifications and Experience:

  • A minimum experience of 3-5 years in large scale international sport events
  • University degree in appropriate subject (or adequate training/vocational education)
  • Experience in international sports / event management
  • Knowledge of even planning and event project management processes
  • Experience or knowledge of local culture will be an added benefit
  • Strong IT skill including MS Office (Word, Excel, Visio, PowerPoint)
  • Fluency in English and other languages are an added benefit
  • Team Player, willing to work to tight timelines
  • Positive attitude, patience and persistence.
