Planning Manager

Overview:

Responsible to implement all FIFA Futsal Women’s World Cup 2025 LOC processes for establishing and maintaining the FFWWC 2025 LOC planning & operational risk management framework (schedules, reporting, processes, projects’ scope, risk register, etc.)

Key Responsibilities:

Functional Planning

  • Establish and deliver process of LOC Functional/Constituent Groups Planning in all phases of the event preparation period
  • Collaborate with all LOC departments in order to define projects’ scope and project plans
  • Identify internal LOC overlaps and gaps and facilitate process for issue resolution
  • Collaborate closely with FWC Programme to ensure FIFA requirements are integrated within the planning documentation and provide status reports upon request
  • Review at key points in time project scope and collaborate with Finance, HR and other resources departments to ensure scope is aligned with resources planning
  • Collaborate closely with the venue department in order to integrate Functional planning into the event Venue Planning

Event Wide Planning

  • Define and coordinate the LOC process for the development and delivery of any required content and/or alignment of content that will be included in the Supreme Committee of Legacy and Delivery’s Event Foundation Plan and it required for the LOC Strategic Planning
  • Define and maintain key LOC terminology, codes and planning numbers, such as List of Functional Areas, Projects and codes, definition of FWC constituent groups categories and functions, estimated planning numbers and codes. Work with Venues department to define List of Venues and relevant codes – Align terminology, codes and numbers with Host Country Operations.
  • Lead process to define LOC Readiness Strategy, support integration with other key delivery partners and implementation
  • Establish Event time Command, Control and Communication framework in close collaboration with the Supreme Committee of Legacy and Delivery
  • Plan and deliver the Event Main Operations Centre

Risk Management

  • Define Operational Risk Management methodology including guidelines covering how risks are identified, assessed, monitored over time and how their status is communicated to ensure they are being properly managed by the LOC.
  • Establish LOC Risk Registers
  • Monitoring of LOC Risk Registers
  • Collaborate closely with the Finance department for identification of Financial Risks and implementation of the LOC insurance programme
  • Coordinate the development of the LOC Incident and Crisis Management plan (Pre and during the Event) and validate plan with senior executives and key involved departments (i.e. communications)

Monitoring & Reporting

  • Establish an integrated issues, risks and timelines database
  • Establish and implement a process for regular status reporting on project timelines, issues and risks
  • Act as a service provider to the FWC programme department with the regular provision of status reports on FIFA milestones and other departments where required.

 

Event Wide and Functional Operational Policies & Procedures

  • Define process (including template) for the development of the operational policies and procedures
  • Coordinate process for the development of the Event Wide and Functional Operational Policies & Procedures including approval process.
  • Support the Venues department on the definition of framework for the delivery of the Venue specific operational Policies & Procedures

 

General

  • Provide input to departmental/divisional planning and administration matters, such as staffing, etc.
  • Adapt to the needs of the role as per the LOC evolution
  • Perform any other duties assigned by the COO / Tournament Operations & Planning Executive Director
  • Fulfil assigned responsibilities:
    • to a high standard of quality and meeting timelines
    • in  full compliance with the LOC & SC Quality Policy and the Safety and Security rules and requirements
    • in line with any standards and objectives designated in the Employee Performance Management system

Qualifications and Experience:

  • A minimum experience of 5-8 years in large scale international sport events with – at least 4 years in a supervisory or managerial role
  • University degree in appropriate subject (or adequate training/vocational education)
  • Experience in international sports / event management
  • Knowledge of even planning and event project management processes
  • Experience or knowledge of local culture will be an added benefit
  • Strong IT skill including MS Office (Word, Excel, Visio, PowerPoint)
  • Fluency in English and other languages are an added benefit
  • Team Player, willing to work to tight timelines
  • Positive attitude, patience and persistence.
  • Proven track record in managing complex projects, preferably international sports events.
